This article covers how to setup policy, commission statement, and claims downloads into the Management System. There are two scenarios that this article covers:


  • If EZLynx is your first Management System
  • If EZLynx is not your first Management System


Which steps you take to setup downloads will depend on your agency's scenario. To help, we've created an outline of the steps for each scenario below and you can use the Table Of Contents to jump to specific parts of the article. 


If you are in the middle of a Data Conversion, please work with your Data Conversion Specialist before attempting any of these steps.

Determine How Your Carriers Download


No matter your scenario you want to determine how your carriers process their downloads as there are 3 different ways:

  • IVANS Exchange
  • TEAM-UP
  • Proprietary Software

Getting Sponsored for an IVANS Exchange Account


If EZLynx is not your first Management System then you do not have to worry about this step. Please see the Turn Off Downloads in Previous Management System section for your next steps!


If EZLynx is your first Management System and you have determined that you have a carrier or carriers that download through IVANS Exchange, you will need to get sponsored for your IVANS Exchange account.


To do this, contact one of your carriers that downloads through IVANS Exchange. It's recommend to reach out to the carrier you do the most business with. That carrier will help you obtain an IVANS Exchange account by submitting your agency information to IVANS. IVANS will then setup a mailbox specifically for your agency. This mailbox is where the downloads will go. IVANS should provide you the following information: 


  • IVANS Y-account #
  • USER ID


Hold on to that information as you will need it later on in the setup process!


Turn off Downloads in Previous Management System


If EZLynx is your first Management System, then you don't have to worry about this step. Please see the Setup Master Carrier/Company List for next steps.


If EZLynx is not your first Management System, this is your first step to getting setup for downloads! You will want to contact your prior policy management system and request that your downloads be turned off, this must be done with your prior management system, not IVANS. 


Please note: If you are going through a Data Conversion, do not complete this step without first getting the green light from your Data Conversion Specialist!


Contact IVANS to Set EZLynx as Management System


If EZLynx is your first Management System, then you don't have to worry about this step. Please see the Setup Master Carrier/Company List for next steps.


If EZLynx is not your first Management System, this is your second step to getting setup for downloads! You will need to change your Management System in IVANS Exchange. Once IVANS Exchange has been updated to Webcetera/EZLynx, this will help streamline the process and avoid any additional delays when setting up downloads.

Please note: We will not turn on your downloads in EZLynx until this has been completed.


If your carrier(s) ask you to provide your EZLynx Version Number, you can locate this easily!

1. Hover the Dashboard icon

2. Click Home Page.

3. Look for the gray ribbon in fine print at the bottom left of the EZLynx screen. You do not need to include the number in brackets as this is the Server you are on, not the Version number.


Setup Master Carrier/Company List


The next step no matter your scenario is to setup your Master Carrier/Company list in your EZLynx Account. This is an important step for both your downloading and manually created policies. Please see the Management System: Master Carrier List article for steps on how to set this up.


Notify EZLynx to turn On Downloads

Once you have completed all the above tasks, the next step is to let us know so we can activate your downloads.


  • If you are going through a Data Conversion, please email your Data Conversion Specialist by replying to the ticket under the Ticket Status section of the Support Center.


  • If you are not going through a Data Conversion, please email your Onboarding Specialist by replying to the ticket under the Ticket Status section of the Support Center.


We will get your downloads activated and notify you once it is complete!


Progressive Downloads


EZLynx, IVANS & Progressive have engaged in a new workflow for your downloading policy transactions. Your Progressive policy transactions will be handed through the IVANS Exchange platform. To start this process, please call 800-695-4050 to speak with a Progressive Specialist. 


To help expedite your request, be prepared with the following details:

Progressive has let us know their turnaround time is 1-3 business days. 


Carriers That Do Not Download through IVANS Exchange


For the Carriers that do not download through IVANS Exchange, you will need to install extra software on one computer in your office. It is very important it is only on one computer in your office to avoid download issues so choose wisely. 


Please note, this extra software only works on Windows PC Based computers. Mac, OSX or Chromebook users will need to use a virtual emulation of Windows with a program like Parallels for Mac.


Once you have your computer chosen, the next steps will depend on your Carriers. Check out the sections below that fit your agency's scenario. 


TEAM-UP


If your Carrier's download through TEAM-UP rather than IVANS, please follow the steps below.


  1. Click here to check the TEAM-UP list and determine whether any of your agency's carriers use TEAM-UP for downloads.

  2. If one or more of your carriers use TEAM-UP, contact one of your TEAM-UP carriers to install the software on an agency's Windows PC based computer. The agency computer with TEAM-UP installed will be used for ALL of your TEAM-UP participating carriers.

  3. If not done previously, email downloadsupport@ezlynx.com and request for us to install the EZLynx Transfer Manager software on the same agency computer (see EZLynx Transfer Manager below).


Proprietary Software


Erie and First Chicago Insurance have each created their own proprietary software for downloads. If your agency writes business with any of these carriers, please follow the steps below.


  1.  Contact each carrier separately to install their proprietary software on the specified agency Windows PC based computer. 
  2. If not done previously, email downloadsupport@ezlynx.com and request for us to install the EZLynx Transfer Manager software on the same agency computer (see EZLynx Transfer Manager below).


EZLynx Transfer Manager 


With both TEAM-UP and the Proprietary Software, EZLynx must install our EZLynx Transfer Manager software which is used to complete the data transfer to EZLynx.


If not done previously, contact downloadsupport@ezlynx.com for assistance with this installation. 


We create a directory called c:\ezlynxdownloads on your computer for the downloaded files. Please do not delete the directory once installed, as removing it can cause download issues.


Request Initial & Daily Downloads from All Carriers


After you hear back from us that your Downloads have been activated, you are ready to start downloads! 


To do this, please contact each of your Carriers and explain the following: 

  1. That you have switched management systems and are now using EZLYNX.
  2. You would like to request an Initial Load and Daily Downloads for the following lines for businesses:
    • Personal Lines
    • Commercial Lines
    • Flood
    • Claims
    • Direct-Bill Commissions
      •  NOTE: Many carriers require a separate, specific request to begin downloading commission statements. 


Carriers may ask for this general information:

  •      Vendor   = Webcetera
  •      Product  =  EZLynx
  •      Version  =  5
  •      Machine Address = N/A (we do not use this)

Initial Load for Mercury


If you write business with Mercury, getting your initial load is a little different than most other carriers. 


First, start by locating the only computer within your agency that has TEAM-UP & the EZLynx Transfer Manager installed. 


Once you have located that computer, then send the files to that computer accordingly. Mercury typically sends as a Zip File, so you will want to unzip or extract the files that are embedded. 


Take the extracted files and place them into the C: Drive of the computer, with the file folder name: ezlynxdownloads


Once the files have been added to the folder ezlynxdownloads, the EZLynx Transfer Manager will pull those files into EZLynx. Depending on the size of your Book of Business with Mercury, please allow 24 hours to fully process.



If your agency does not have the EZLynx Transfer Manager installed or you do not see the ezlynxdownloads folder on your C: Drive, please email downloadsupport@ezlynx.com



Receive Daily, Weekly, & Monthly Download Reports


Did you know we offer various policy download reports that can be automatically emailed to anyone in your agency? These reports are super useful in monitor you downloads and the health of your agency. 


Standard Reports

  • Daily Download - Downloads received in the past 24 hours - by Carrier, LOB and Transaction Type.
  • Weekly Business - Downloads received in the past 7 days. Includes total premium and premium change - by Transaction, LOB and Carrier Type and State. 
  • Agency Pulse - Monthly Snapshot of your agency’s performance derived directly from the agency’s EZLynx data.

Premium Reports 

  • Daily Renewal (All Applicants) - Renewal transactions received in the past 24 hours - by LOB and carrier with average premium change / percent & Top 100 renewals listed by change / percent


1. To setup a user to receive these auto-emailed reports, hover over the Settings icon.

2. Click Email Subscription Management.


3. Click Add New Subscriber



4. Input the name and email address

5. Then, check the boxes for the reports you want emailed to the subscriber.

6. When done, click the Save button.
