Sales Center - How to Import and Manage Leads

Any agency with Sales Center Leads can import a list of leads as long as it is a CSV file. Once imported, you can use Email Campaigns to send bulk campaigns using our extensive email template design and content libraries to reach out and try and win over your list of leads. How to access
1. Hover over the Sales Center icon on the left-hand navigation bar.
2. Choose Leads. This will take you directly to the new Leads page.

Importing Leads
The import process is divided into three steps: Upload Leads, Field Mapping, and a Duplicate Check. Once completed, you’ll be presented with a results page summarizing the outcome of your import. Let's look at each of the steps for importing.
Upload Leads
1. Select the Import button in the top-right of the page. This will take you to the Import Leads page.

2. Review the instructions on the top of this page to help guide you through the process of creating a .csv file for import.
a. You can use your own .csv file or you can download one of the provided templates to utilize for importing your leads.
b. The templates for Personal Lines and Commercial Lines both contain columns for required information as well as other information you may have for your leads.
c. Please note that while you are not required to import every accepted data field, you must import at least the following required fields:
- First name and last name for personal
- Business name for commercial
- Address line 1, city, state, zip code

3. Once you have prepared your file to import, choose if you are importing Personal or Commercial leads. This step is critical as it enables you to import different data fields for each lead type.
4. Enter a name for your List. This does not need to be a unique name to proceed but it is required. You will also be able to filter your Leads on the Leads Management table by this name, so it is recommended to choose a recognizable name.
a. The Lead Source is optional. This list populates from those provided on your agency’s Manage Lead Source Settings.
b. The Assigned Producer is also an optional field. The Assigned Producer selected here will be the default value for any Leads that are marked to be converted into Opportunities in the Duplicate Check step.
5. Upload a csv file by either dragging and dropping your file into the box on the screen or click inside the box to browse your computer for a file. A .csv file is the only accepted file type. You will receive an error message if your file does is not acceptable.
6. Check that you agree to the Acceptable Use policy that is available by clicking on the link in the text.
7. Select Continue to move to the Filed Mapping step. Please note: the List Name, .csv file, and acknowledgement of the Acceptable Use Policy must all be present to continue to the Field Mapping step.
Field Mapping
When you get to the Field Mapping step, you will need to create a Mapping if it is your first time using Import Leads. Saving a mapping means you can use a similar file each time without having to map the csv header columns to the respective EZLynx data field.
If you have any previously created Mappings, they will be available in the dropdown list of Saved Field Mappings. The most recently used mapping will be the one that shows up when you come to this step. A new mapping can be made at any time by selecting “Create New Mapping.” Mappings can be deleted if they are no longer needed.

1. Enter a name in the Mapping Name field. This is required if it is your first time.
2. Match any column headers that did not automatically match.
a. EZLynx will match column headers that match the EZLynx fields. Any that do not match will not have a value shown in the corresponding dropdown. Required fields will show as an error when there is no selection made. These fields are required to be mapped to a column in your file to complete the import process.
b. Fields that are not mapped will show in the Column drop down. For the below example the file that was used had “First” and the EZLynx field is “First Name.” Since this is not a complete match, you will need to select this as the correct column for this field.

3. Once all required fields have been mapped:
a. If this is your first time, select Save mapping then, select Continue to move to the Duplicate Check step.
b. If you are using a previously created mapping, you can simply select Continue to move to the next step.
c. Please note: Any changes made after a mapping has been selected will be saved to that mapping upon moving to the next step.
Duplicate Check
The Duplicate Check will look for current Applicants in EZLynx that appear to possibly match those listed on your file.
No Duplicates
If no duplicates are found, you’ll be notified, and you can proceed with the import process by selecting the Import button. This will take you back to the Leads page.
Duplicates Detected
If there are duplicates detected, you will be informed how many of your leads have a similar applicant. This step gives you the chance to review the possible duplicates and determine if you would like to create an Opportunity for the existing Applicant or create a new Lead.
- Note: The criteria for a possible duplicate for a Personal lead is a matching Last Name, Address Line 1 and Zip Code. The criteria for a Commercial lead is a matching Business Name.
The cards can be collapsed by selecting the carrot on the top right of each card, or by selecting Collapse all. To expand cards that are collapsed you can select the carrot or select Expand all.

1. Review the possible duplicate - For each record that has a possible duplicate, you will see the information you have provided on your uploaded file and will be able to see the possible duplicate Applicant’s information. If you need to investigate the applicant further, there is an option to open the Applicant in a new tab of your browser.
2. Determine Lead or Opportunity - The default option selected is to Create a new Lead for each. If you would like to create an Opportunity instead, toggle the Create Opportunity for option next to the applicant you want to Opportunity created for.
When you select to create an Opportunity, you will see that the top filter will update with the selection you have made. You can select Create new lead to view only those that have been marked to create a lead and select Create opportunity to view those only marked to create an Opportunity.

Quick Match (optional)
Quick match is a feature that will select Create Opportunity for all leads that have only one potential duplicate applicant. This is a fast way to change all duplicates from the default Create new lead to Create Opportunity for. Simply select the Quick match button if you want to switch all duplicates to Create Opportunity for.
3. When you are ready to done with the Duplicate Check step, select the Import button.
Import Results
Once you completed the three steps for importing leads, you will land on the import results page. How your import went will depend on what you see on this page so let's cover the different scenarios.
No Invalid Leads and No Create Opportunities
- If you don't have any errors and no leads were marked for Opportunity creation, you will proceed to the import results where you will see the total leads that were created.
- Selecting Back to leads list will take you to the Lead management page where you will see the leads that were just created.
No Invalid Leads and Create Opportunities
- If you don't have any errors and marked at least one lead for Opportunity creation, you will be prompted to confirm the Opportunity Source and Assigned Producer for those that have been marked to create an Opportunity. If those fields were provided on the first step, they would be displayed here.
- Select Create and you'll be taken to the Import Results page where you'll see the total leads and opportunities created.
- You can go directly to Opportunities to begin your sales process with these newly created Opportunities by selecting Go to opportunities.
- Selecting Back to leads list will take you to the Lead management page where you will see the leads that were just created.

Invalid Leads
If there are any invalid leads you will be informed on the Import Results page. If a lead has an invalid value for one of the fields, it will not import.
Selecting Download invalid leads will provide you with a spreadsheet that contains the lead information that could not be imported along with a new column indicating which of your values for each entry were invalid. Please note, once you navigate away from this page you will not be able to retrieve this invalid list.
In this example, you will see that the State Code was not a valid value and so the lead could not be imported. You can correct the State Code from “tex” to “TX” and save this file to upload. Once the information has been corrected, follow the Import Leads steps again but only for the leads that had to be corrected. Please note, if you name the list the same thing as before, there will be two instances of that list on the filter tab.
Leads Management
To manage the Leads that have been imported, you will need to select the type of Lead that has been imported. You can select Personal or Commercial. This is based on the option that was selected at the time of import.
The following columns are visible by default for both types of leads:
- Lead Name - For Personal this will be the Name of the Lead. For Commercial this will be the Business Name.
- Phone Number - For Personal this will be the first number listed for one of the following Phone Types (in order of hierarchy): Home, Mobile, Work, Fax. For Commercial this will be the Business Phone.
- Email - For Personal this will be the Primary Email. For Commercial this will be the Primary Email of the Primary Contact.
- X-Date - This value is provided at the time of import and will display if it has been provided.
- Assigned Producer - This value is provided at the time of import and will display if it has been provided.
- Lead Source - This value is provided at the time of import and will display if it has been selected.
- Import Name - This value is provided at the time of import.
- Import Date - This value is the time the import was completed.
Note: Only fields with values that have been included at the time of import will display. You will be able to add these fields by editing a Lead.
To customize your view, you can select to Hide columns that are shown or Show columns that are hidden.
Additionally, Leads can be filtered by the following criteria:

Searching the Leads will search for the First, Middle, or Last Names for Personal Leads and Business Name and First, Middle, or Last names of the Primary and Secondary Contacts in Commercial Leads.
Bulk Actions
Like other areas of Sales Center, there are actions that can be performed on multiple line items within this table at once. Select one or more Leads to perform the following actions:
- Email Campaign
- Send an email campaign to the selected Lead(s).
- Create Opportunity
- Create an Opportunity for your sales pipeline for the selected Lead(s).
- You will have the opportunity to select the Opportunity Source as well as Assigned Producer for the Opportunity.
- Assign Producer
- Update the Assigned Producer for the selected Lead(s).
- Delete
- Delete the selected Lead(s).
Lead Information
To view and/or edit the details of a specific Lead, click on Edit next to the desired Lead. Any information that was provided on the .csv import will be listed here. For Personal and Commercial Leads there is address validation available to indicate if the address is validated through USPS.
Email addresses are checked against your Suppression List and will be marked with a green checkmark when the email address is not on this list and an orange alert when the email address is on the Suppression List. When an email address is suppressed, no email campaigns will be sent to that email, even when the lead has been selected as part of a bulk action for Email Campaigns.
The fields for each Lead, aside from the Import Name and Import File Date, are editable. Once updated, you will need to Save any changes.
When a Lead has been sent an email campaign, they will see this information at the bottom of the Lead’s information under Lead Log.
The Lead Information section of the screen is sizeable, and you can stretch it across the screen or move it to the right to allow for more visibility of the list of Leads. While this is open, you will not be able to interact with the selection boxes, search, filters or bulk actions. You are still able to interact with the phone numbers and email addresses.
Export Leads
For users with a Sales Center Admin permission, they will be able to export leads to a .csv file. To do this, simply filter the leads by any criteria of your choosing and then select “Export”. Doing this will export all Leads that meet those criteria.
Note: The number of Leads that will be exported is displayed on the Export button. Exporting does not perform any action within EZLynx, it only supplies you with a file for Leads.
