EZLynx has completely redesigned the user experience for our Automation Center product. With this new version of Automation Center, Agencies will have a new user interface for creating and editing workflows, and the ability to narrow down when their workflow triggers. There are also several other enhancements to make this process more efficient. 


This feature has the following capabilities: 

  • New styling for Workflow and History tabs
  • Ability to filter by Trigger, Agency, Modified by, and Date Modified
  • Ability to delete workflows
  • Ability to view completed workflows from the History tab
  • Improved error handling
  • Simplified workflow creation through new user interface
  • Ability to narrow down when your workflow is triggered by adding filters
  • New Triggers - Applicant Created, Birthday, and Applicant Added to Renewal List (for Retention Center Product) 
  • New Actions - Create Folder(s) in the Documents tab, Assign the Applicant to a Renewal Manager (for Retention Center Product) and Close the Applicant in Retention Center
  • Real-time workflow preview

Create a Workflow


1. Hover over the Settings (gear) icon. 

2. Click Automation Center.



3. Click the Workflows tab.

4. Click the Create New Workflow button. 



Step 1: Select a Trigger


1. Click the Birthday card. 

This will trigger when an applicant, co-applicant, or commercial primary or secondary contact has a birthday. 



Step 2: Add Filters


1. Select the value for the Days Until Birthday filter.


This filter will determine the number of days before the birthday that the workflow will be triggered. The options are: 0 Days (the day of the birthday), 1 day, 7 days, 14 days, and 30 days. 


(Please note: The Birthday filter is currently the only one that requires a filter to be added. This filter cannot be deleted.) 



2. Select the value for the Birthday is for one of filter. 

This filter will determine who's birthday the workflow will trigger for. The options are Applicant, Commercial Primary Contact, Co-Applicant, or Commercial Secondary Contact. 


(Please note: This filter can be deleted if desired.) 



3. Select the value for the Date Applicant created filter. 


This filter is very important if you have any birthday campaigns already set to run in the future through the Communication Center. 

If you do not use this filter you run the risk of sending out duplicated birthday campaigns because the Automation Center has no way of knowing about previously scheduled birthday campaigns that will run in the future. 


If you use this filter and set it to Date Applicant is greater than or equal to today's date, the workflow will only trigger for Applicants created today or after. There would be no birthday campaigns scheduled for Applicants created today or after, and therefore are not at risk of getting duplicated birthday campaigns. 



4. Once all your filters are added, click the Add Actions button. 


 


Step 3: Add Actions


1. Select a card to add your actions. 


The most used action for this workflow is Send Email. For example, you could send birthday emails to your customers using a birthday email template from the Communication Center. 



2. Once all actions are added, click the Finish Setup button. 




Step 4: Finish Setup


1. Input the Workflow Name.

2. Enable/Disable the workflow.

3. Input the Description

4. Choose which Agency or Agencies will have access to this workflow. 

5. Once complete, click the Save button to create the workflow.
