Suggest Automation Workflow
With this release, we have provided a new functionality to Automation Center Basic Users - Suggest New Workflow.
Basic Users - Suggest New Workflow
If you are an Automation Center Basic User, you now have the option to suggest an Automation Center Workflow by sending a request to your agency's admin. The workflow creation steps are the same for a Basic User except for the Finish Setup step where you will see a Suggest to Admin button instead of Save Workflow. Basic Users will also not have the Enable/Disable toggle.
When you select the Suggest to Admin button, a pop-up window will appear. You can select the admin from a drop-down menu. You can also include an optional message to highlight the benefits of creating the workflow. Then, select Submit Suggestion to finish process. This will send an email notification to your Agency Admin requesting approval for your suggestion.
Admin Users - Approve Suggested Workflow
Once a request for approval is sent to the Admin, the Admin will receive an email notification. The email will contain a workflow URL that, when clicked, will direct the Admin to Automation Center. The Admin can then create the workflow, with the ability to modify any parameters as needed.
Suggested Workflows Page
Whether you are an Automation Center Basic User or Admin User, you will now have access to the new Suggested Workflows page. This new page allows both Admin and Basic users to track the workflows they have received for approval and those they have sent for approval, respectively.
If you are an Admin User, you can edit, disable, enable, duplicate, and delete workflows.
If you are a Basic User, you can only view the workflow approval requests made to your agency's admin.
Setup Automation Button
With this release, we have added a new Setup Automation button throughout key points in the system to help you identify potential opportunities for creating contextual workflows tailored to your specific needs, helping you save time and increase efficiency for your agency. Please note, only users with Automation Center access with be able to see this new button.
This new button can be found on the following pages of EZLynx:
- Applicant Details page
- Applicant Policies page
- Sales Center Opportunities page
When you select the Setup Automation button on the Applicant’s Detail page, you will be redirected to Automation Center where the “Customer Onboarding” tag will be preselected along with all the recommended templates and triggers. These can be leveraged to create workflows.
When you select the Setup Automation button on Applicant’s Policies page, you will be redirected to Automation Center where the "Customer Onboarding, Lost Policies and Faster Service” tags will be preselected along with all the recommended templates and triggers. These can be leveraged to create workflows.
When you select the Setup Automation button on the Sales Center Opportunities page, you will be redirected to Automation Center where the “Sales Pipeline” tag will be preselected along with all the recommended templates and triggers. These can be leveraged to create workflows.
Integrated Automation Suggestions
With this release, we've also added a new integrated automation suggestion. When you create a personal or commercial applicant, a workflow recommendation pop-up will appear with an option to set up automation.
Attention! - If your agency already has applicant creation or new customer workflows enabled in the Automation Center, you will not see this recommendation upon applicant creation. |
By selecting Setup Automation, you will be redirected to the Automation Center, where the "Customer Onboarding" tag will be preselected along with all the recommended workflow templates. These templates can be used to create workflows. Feel free to make the necessary changes that suit your agency’s standard operating procedures.
If you do not wish to leverage these recommendations immediately, you can choose to Snooze for 60 days. By selecting this option, the recommendation will be hidden for the next 60 days when you create a new applicant.
We've also added an Automation Center Settings tab for Admins. To access it, navigate to Automation Center and select the new Settings tab. There you will find a setting called "Allow EZLynx to suggest automated workflows." By default, this option is enabled. Admins may choose to opt out by unchecking the box and selecting Save if they do not wish to see the recommendation pop-ups. However, it is highly recommended that you keep this option enabled to utilize the recommendations for creating efficient workflows.
Smart Stop - Email
Just like the Smart Stop - Text feature we released last quarter, the Smart Stop - Email feature enables you to prevent redundant communication to your customers so that they are not overwhelmed.
Smart Stop will be displayed on the Finish Setup step of workflow creation, but only when the Text and/or Email action has been selected as one of actions when creating the workflow.
For Smart Stop to work, the Text/Email action must be successfully triggered. You can always check if this happened via the History tab if you are an Automation Center Admin. The Smart Stop option will be enabled by default for Sales Center triggers as we feel you should leverage this for effective communication with your customers.
Why is this important
At EZLynx, we are dedicated to optimizing the functionality of our Automation Center. Our goal is to empower agents by automating routine tasks, allowing them to focus on activities that generate revenue and drive business growth. We believe this new feature can help with the following at your agency:
- Increased utilization to create Workflows with your agency – As creating automated workflows becomes as easy as a few clicks, you can expand the use of workflows by engaging more people in your agency. The end-to-end process, including approvals, is integrated, allowing you to send workflows to the admin for approval. Once the admin approves the request, your team can start reaping the benefits of these workflows in their daily activities. This will lead to higher efficiency and time savings, allowing your employees to focus on activities that are more beneficial to your business.
- Improved Accessibility - With the enhanced accessibility of the Automation Center, you will encounter the power of automation at various touchpoints within the EZLynx platform. Whether you are an Automation Center Basic or Admin User, you will find the Setup Automation buttons in key areas such as the Sales Center, Applicant Creation, Applicant's Details, and Policies pages. This improvement enables you to identify potential opportunities for creating contextual workflows tailored to your specific needs, helping you save time and increase efficiency for your agency.
- Manage Customer Communication Effectively - It's crucial to prevent oversaturation, which can result in customer fatigue a diminished interest, ultimately affecting conversion rates. It's essential to recognize the right moment to cease messaging a customer about a specific topic. Using the new Smart Stop - Email feature will help you implement a coordinated communication strategy that respects customer responses and preferences.
We hope you enjoy these new features and look forward to our future releases! If you are looking for training on the Automation Center, check out our updated Automation Center - Create/Suggest/Approve an Automation Workflow training article.
