We're excited to announce significant enhancements to the EZLynx Client Center with the focus to improve the pre-renewal stage of the insurance lifecycle. Our revamped approach also redefines the renewal management process, shifting it from a reactive to a proactive one, allowing agents and insured individuals to be better prepared before insurance renewals. 


Now, agents can use the Automation Center to dispatch policy summaries and tailor-made communications, while consumers will receive proactive alerts on upcoming renewals and options to request changes within policy summaries. This proactive approach aims to streamline the renewals process, improve transparency, enable better decision-making and boost customer-agent relationships, reducing last-minute rushes.

How it works


We have added new actions to the following Retention Center Automation Triggers:

  • Applicant Added to the Renewal List = New Action: Share Renewal Policy Summary to Client Center
  • Policy Added to the Expiration List = New Action: Share Policy Summary to Client Center 

 

These new actions allow you to share expiring or renewing policies for review, along with a custom message that will be displayed in the Client Center for your customers.




To make this process even smoother, we recommend including a 'Send Email' action to notify your customers that you have shared the policy with them. You can do this using the two new email templates we've added: Share Policy Summary and Share Renewal Policy Summary Template. 


These templates provide all necessary information for your customer, including a link that will take them directly to the policy page in the Client Center after logging in, so they don't have to find it themselves. This will save your customers time and hassle, ensuring they can review the policy quickly and easily. 



Upon utilizing the link provided in the email template, customers will be taken to the Policies page. If one chooses to login to the Client Center without the provided link, the necessary policy to review will be easily recognized with a 'Review' tag and a notification icon on the homepage. 



To ensure our users never miss a renewal, we have added clear messages. Policies nearing expiration are flagged with 'Prepare for your renewal' and renewing policies carry an 'Upcoming renewal' note. Conveniently, both come with options to directly review the policies. 



We've also optimized our policy review process. When inspecting a policy, users will be taken to a detailed page that has been pre-updated with the most current renewal information. If there are any required amendments to the expiring policy, customers can submit those using our 'Request Change' function. 


For those with renewing policies, keep in mind that the 'Request Change' option will only feature the 'General Change Request'. All change requests, as always, trigger an instant notification to both the user and the system, with associated tasks and notes added to the customer’s EZLynx account for better tracking and coordination. 


Attention! - The customer will not see the new tags, icons, messages, or review renewal policy details page unless you setup the automation and the workflow triggers successfully for that customer.

Why is this important


The new proactive renewal management process allows users to prepare for their renewal ahead of time, eliminating last-minute rushes and providing them ample time to review policy summaries. Users can expect a smoother and more intuitive renewal experience. With customized messages and alerts feature, agents can effectively communicate with their customers regarding policy renewals or expiry. Customers, in turn, will appreciate clear, timely communications, and assistance in policy reviews and changes, which ultimately boosts customer-agent relationships. 


  • Proactive Customer Communication - When you have multiple policy renewals lined up for the next month. you can use the new personalized email feature to send out pre-written, but customizable, renewal notices well in advance. As a result, your customers get sufficient time to review changes, ask questions or request alterations. This leads to a smooth renewal process without any last-minute surprises, improving customer satisfaction and agent efficiency. 


  • Time-Sensitive Notifications - For an agency handling a high volume of policies, tracking and manually informing each customer about impending policy expiry can be a daunting task. With the new ‘Prepare for Your Renewal’ alert, agencies are supported with automated, yet personalized, alerts to your customers. This eliminates the risk of missed renewals, reduces the workload on agents, and assures an informed and prepared customer, contributing to overall transparency in operations.
