Manage Departments is a great feature if you have specific users that work specific lines of business. It can also help you assign Tasks to a Department rather than just one specific user if you aren't sure who has the time to work the task or use a round-robin system. 


This article will show you how to create Departments, how to add users to those Departments, and how to Assign Tasks to the Departments once created!

Creating Departments


1. To setup Departments, hover over the Settings icon. 

2. Then, click Manage Departments.





3. You'll notice there are a few that we (EZLynx) have already created to help get you started. To make a new department, click the Add New Department button. 



4. Input the Department Name and the Short Name or abbreviations. Then, click the Add button.




5. To hide a Department, click Actions then Hide. You can even hide the ones we made for you!



6. To un-hide a Department, click the Filter icon.

7. Check-mark Show Hidden Departments.

8. Then, click Actions > Show.



Adding Users to Department


1. Now that you've created your Departments, you need to add the EZLynx Users that belong to them. Hover over the Settings icon.

2. Then, click Activity Settings





3. Click the Department Team Management tab.

4. Then, on the Department in question, click Manage.



5. Check-mark which users you would like to add to the Department. 

6. Then, click the Ok button. 



Assigning Tasks to Departments


1. Now that you've added your users to the Departments, you can start assigning Tasks to them. Click the Add Note button. 

2. Click the Task icon. 

3. Click the Assignee drop-down. There you will see the Departments which can be see with 3 people next to them rather than just 1 for the specific users. 


When you assign a task to a Department, all users in that Department will be able to see Task under their My Task's List. Then, anyone from the Department can go into the Task and assign it directly to themselves taking ownership of the task. Once they do this, the Task will remove itself from the rest of the Department User's My Task List.
