Automation Center - Recommended Workflow Templates

EZLynx is proud to announce an enhancement to the Automation Center - Recommended Workflow Templates! The goal of the Recommended Workflow Templates is to reduce the burden on the Automation Center Admin and to empower your agency to realize the benefits of Automation Center from Day 1.
This new feature also gives us the opportunity to suggest best practices if your agency isn't sure where to start. The templates have been built keeping our most common business use cases in mind. These templates are loaded with predefined filters, checklists, and appropriate actions allowing you to enable the workflows with a single click. However, you can always modify and customize these templates to best suit your agency's needs rather than building them from scratch.
In this release article we will go over how to find this new feature and dive into the details of each of the 8 recommended templates. To learn more about how to build a workflow from scratch, please see our Automation Center - How to Create a Workflow training article.

Where to Find Recommended Workflow Templates
To find this new feature, you must be an Automation Center Admin. If you are not an Automation Center admin, you will not see the option we are about to discuss. Please reach out to your Agency Admin if you are not the Automation Center Admin.
1. Hover over the Settings Icon.
2. Click Automation Center.
3. Once inside of Automation Center, click the Workflows tab, then click the Create New Workflow button.
Under the Select Trigger step you will see the Recommended Templates section where you can the list of workflow templates.
In the next sections, we will go into detail of each of the above templates. Remember, you can always customize or change any preset values to best suit your agency's needs.
Template - Welcome Your New Customers
This template leverages the New Customer trigger. It utilizes the Communication Center to schedule an Email Campaign that welcomes the customer and sends them a link to the Client Center portal. It also utilizes Agency Workspace to create a checklist for the Assigned Producer, and later uses the Client Center Referral Program (if enabled) to check in on their experience with your agency so far.
By default, there are no Filters setup.
Under the Actions step, there are four Actions setup:
- Send Email (Day 0)
- Send Email (Day 2)
- Create Note/Task (Day 5)
- Get Google Reviews (Day 30)
- This action will only display if you have enabled the Google Reviews EZLynx Connect feature. Check out our Google Reviews for Client Center's Referral Program article to learn how
The Send Email action is setup to schedule the Automation Template - New Customer Welcome email template the day the workflow is triggered. This email template includes sending the Welcome email the day the workflow is triggered, and the Manage Your Insurance Online email two days after the first email is sent. This is why there are two Send Email actions on the Workflow Preview section.
The Create Note/Task action is setup to assign a four item Checklist that is due the day it is assigned to the account's Assigned Producer.
The Get Google Reviews action is setup to send an email 30 days after the workflow is triggered to the primary applicant or Commercial primary contact asking them a simple question regarding their experience with your agency.
Under the Finish Setup step, you'll see the Enabled option has already been toggled, but the Enable Smart Stop has not. Simply select the Save Workflow button to start using this Automation Workflow.
Template - Organize Personal Account Information
This template leverages the Applicant Created trigger. It utilizes the Documents tab to create relevant folders for Personal Lines accounts and combination of Client Center and Communication Center to send an email that includes the Client Center portal link.
By default, the following Filter is setup:
- Type is Personal
Under the Actions section, you will find two actions setup:
- Create Folders
- Send Client Center Link
The Create Folders action is setup to create the following folders:
- Applications
- Claims
- Photos of Home
The Send Client Center Link is an action that sends the Client Center email template the same day the workflow is triggered. Please note, this action cannot be edited, but it can be deleted.
Under the Finish Setup step, you'll see the Enabled option has already been toggled. Simply select the Save Workflow button to start using this Automation Workflow.
Template - Organize Commercial Account Information
This template leverages Applicant Created trigger. It utilizes the Documents tab to create relevant folders for Commercial Lines accounts, and a combination of Client Center and Communication Center to send an email that includes the Client Center portal link.
By default, the following Filter is setup:
- Type is Commercial
Under the Actions section, you will find two actions setup:
- Create Folders
- Send Client Center Link
The Create Folders action is setup to create the following folders:
- Certificates
- Submission
- Claims
The Send Client Center Link is an action that sends the Client Center email template the same day the workflow is triggered. Please note, this action cannot be edited, but it can be deleted.
Under the Finish Setup step, you'll see the Enabled option has already been toggled. Simply select the Save Workflow button to start using this Automation Workflow.
Template - Send Customer Birthday Wishes
This template leverages Birthday trigger. It utilizes Communication Center to send birthday wishes via email to your customer as well as Agency Workspace to create a checklist for the Assigned Producer to also reach out.
By default, the following Filters are setup:
- Days Until Birthday is 0 Days
- This is a required field when using the birthday trigger and cannot be removed.
- Birthday is for one of Applicant or Commercial Primary Contact
- Date Applicant Created is greater than or equal to date
Under the Actions section, you will find two actions setup:
- Send Email
- Create Note/Task
The Send Email action is setup to schedule the Automation Template - Birthday email template the day the workflow is triggered.
The Create Note/Task action is setup to assign a three item Checklist that is due the day it is assigned to the account's Assigned Producer.
Under the Finish Setup step, you'll see the Enabled option has already been toggled, but the Enable Smart Stop has not. Simply select the Save Workflow button to start using this Automation Workflow.
Template - Share Declaration Pages Online
This template leverages the Carrier Document Received trigger. It utilizes the Management System and Client Center to share declaration pages to the customer via the Client Center portal. It also utilizes the Agency Workspace to assign a Checklist to the account's Assigned Producer.
By default, the following Filter is setup:
- Carrier Document Type is Dec Pages/Policy Documents
Under the Actions section, you will find two actions setup:
- Share to Client Center
- Create Note/Task
The Share to Client Center action will share the document to the customer via the Client Center Portal the day the workflow is triggered. Please note, this action cannot be edited, but it can be deleted.
The Create Note/Task action is setup to assign a two item Checklist that is due the day it is assigned to the account's Assigned Producer. This will also attach the carrier documents to the task for easy access.
Under the Finish Setup step, you'll see the Enabled option has already been toggled. Simply select the Save Workflow button to start using this Automation Workflow.
Template - Proactively Review Notice of Cancellation
This template leverages the Proactively Review Notice of Cancellation trigger. It utilizes Management System and Agency Workspace to assign a Checklist to the account's Assigned Producer to review the notice of cancellation.
By default, there are no Filters setup.
Under the Actions section, you will find one action setup:
- Create Note/Task
The Create Note/Task action is setup to assign a four item Checklist that is due the day it is assigned to the account's Assigned Producer.
Under the Finish Setup step, you'll see the Enabled option has already been toggled. Simply select the Save Workflow button to start using this Automation Workflow.
Template - Review Lost Policies
This template leverages the Policy Cancellation trigger. It utilizes the Management System and the Agency Workspace to assign a Checklist to the account's Assigned Producer to review the cancellation.
By default, there are no Filters setup.
Under the Actions section, you will find one action setup:
- Create Note/Task
The Create Note/Task action is setup to assign a two item Checklist that is due the day it is assigned to the account's Assigned Producer.
Under the Finish Setup step, you'll see the Enabled option has already been toggled. Simply select the Save Workflow button to start using this Automation Workflow.
Template - Invite Customer to Share Policy Information Online
This template leverages the Additional Policy trigger. It utilizes the Management System to identify when an additional policy has been added to an account. It also utilizes the Communication Center and Agency Workspace to share the policy information to the customer via the Client Center Portal, and create a Checklist for the account's Assigned Producer.
By default, there are no Filters setup.
Under the Actions section, you will find two actions setup:
- Send Client Center Link
- Create Note/Task
The Send Client Center Link is an action that sends the Client Center email template the same day the workflow is triggered. Please note, this action cannot be edited, but it can be deleted.
The Create Note/Task action is setup to assign a three item Checklist that is due the day after it is assigned to the account's Assigned Producer.
Under the Finish Setup step, you'll see the Enabled option has already been toggled. Simply select the Save Workflow button to start using this Automation Workflow.
Template - Commercial Account Rounding Opportunities
This template leverages the Retention Center - Policy Added to the Expiration List trigger. It utilizes the Retention Center's Expiration List to determine when a Commercial Lines account gets added to the list. It also utilizes Communication Center and Agency Workspace to send an email/text to your customer to notify them it's renewal time, and creates a note on the account.
By default, the following Filter is setup:
- Type is Commercial
Under the Actions section, you will find three actions setup:
- Create Note/Task
- Send Email
- Send Text Message
The Create Note/Task action is setup to create a note for the account with a list of suggested actions to take depending on the account.
The Send Email action is setup to send the Commercial Account Review email template the same day the workflow is triggered.
The Send Text Message action is setup to send a text message to the primary applicant or commercial primary contact, and the co-applicant or commercial secondary contact the same day the workflow is triggered.
Under the Finish Setup step, you'll see the Enabled and Enable Smart Stop options have already been toggled. Simply select the Save Workflow button to start using this Automation Work
Template - Claim Experience Review
This template leverages the Claims trigger. It utilizes the Management System to determine when a claim is added to the account. It also utilizes the Communication Center and Agency Workspace to send a Client Center portal link via email/text and to create a task for the Assigned Producer about the claims survey for your agency.
By default, the following Filter is setup:
- Status is one of Closed
Under the Actions section, you will find three actions setup:
- Send Client Center Link
- Create Note/Task
- Send Text Message
The Send Client Center Link is an action that sends the Client Center email template the same day the workflow is triggered. Please note, this action cannot be edited, but it can be deleted.
The Create Note/Task action is setup to assign a task that is due the day it is assigned to the account's Assigned Producer.
The Send Text Message action is setup to send a text message to the primary applicant or commercial primary contact, and the co-applicant or commercial secondary contact the same day the workflow is triggered.
Under the Finish Setup step, you'll see the Enabled option has already been toggled, but the Enable Smart Stop has not. Simply select the Save Workflow button to start using this Automation Workflow.
Template - Share Personalized Quote Results Online
This template leverages the Successful Quote Submission trigger. It utilizes the Rating Engine to determine when a successful quote has been returned from a carrier. It also utilizes the Communication Center to send an email to the customer that their rates are ready for review.
By default, the following Filter is setup:
- Resubmitted Quote is No
Under the Actions section, you will find one action setup:
- Send Email
The Send Email action is setup to send the Quote Submitted email template the same day the workflow is triggered.
Under the Finish Setup step, you'll see the Enabled and Enable Smart Stop options have been toggled. Simply select the Save Workflow button to start using this Automation Workflow.
Template - Send ID Cards on Policy Renewal
This template leverages the Policy Renewal trigger. It utilizes the Management System to determine when a renewal policy is renewed. It also utilizes the Communication Center to send an email/text to the customer that they can review the renewed policy in the Client Center portal.
By default, the following Filter is setup:
- Line of Business is one of Auto (Commercial) (AUTOB), Auto (Personal) (AUTOP)
Under the Actions section, you will find two actions setup:
- Send Client Center Link
- Send Text Message
The Send Client Center Link is an action that sends the Client Center email template the same day the workflow is triggered. Please note, this action cannot be edited, but it can be deleted.
The Send Text Message action is setup to send a text message to the primary applicant or commercial primary contact, and the co-applicant or commercial secondary contact the same day the workflow is triggered.
Under the Finish Setup step, you'll see the Enabled option has already been toggled, but the Enable Smart Stop has not. Simply select the Save Workflow button to start using this Automation Workflow.
Template - Initiate Conversation With Your Prospects
This template leverages the New Status trigger. It utilizes Sales Center to determine which accounts are not active clients. It also utilizes Communication Center to send an email to those opportunities to establish contact.
By default, the following Filter is setup:
- Applicant Status is one of Auto Inactive Client, Prospect/Lead, Unknown
Under the Actions section, you will find one action setup:
- Send Email
The Send Email action is setup to send the Initial Touch Base during Interview email template the same day the workflow is triggered.
Under the Finish Setup step, you'll see the Enabled and Enable Smart Stop options have been toggled. Simply select the Save Workflow button to start using this Automation Workflow.
Template - Present Quote Results To Your Personal Lines Prospects
This template leverages the Quoted Status trigger. It utilizes Sales Center to determine which accounts are not active personal lines clients. It also utilizes Communication Center to send an email to customers that their quotes are complete.
By default, the following Filters are setup:
- Applicant Status is one of Inactive Client, Prospect/Lead, or Unknown
- Type is Personal
Under the Actions section, you will find one action setup:
- Send Email
The Send Email action is setup to send the Personal Lines Quotes Presentation email template the same day the workflow is triggered.
Under the Finish Setup step, you'll see the Enabled and Enable Smart Stop options have been toggled. Simply select the Save Workflow button to start using this Automation Workflow.
Template - Review Quote Results With Your Commercial Lines Prospects
This template leverages the Quoted Status trigger. It utilizes Sales Center to determine which accounts are not active commercial lines clients. It also utilizes Communication Center to send an email to customers that their quotes are complete.
By default, the following filters are setup:
- Applicant Status is one of Inactive Client, Prospect/Lead, or Unknown
- Type is Commercial
Under the Actions section, you will find one action setup:
- Send Email

It utilizes Retention Center's Renewal List and the ability to securely share documents to your customer via Client Center to share the renewal policy summary to the Insured and notify them via email it is time to review their renewal.
By default, there are no Filters setup.
Under the Actions section, you will find two actions setup:
- Share Renewal Policy Summary to Client Center
- Send Email
The Share Renewal Policy Summary to Client Center Action is setup to share the policy summary the day the workflow triggers and includes a default message which will display on Client Center.
The Send Email action is setup to send the Share Renewal Policy Summary email template the same day the workflow is triggered.
Under the Finish Setup step, you'll see the Enabled and Enable Smart Stop options have already been toggled. Simply select the Save Workflow button to start using this Automation Workflow.
Template - Share Expiring Policy to Client Center for Review
This template leverages the Policy Added to the Expiration List trigger. It utilizes Retention Center's Expiration List and the ability to securely share documents to your customer via Client Center to share the policy summary to the Insured and notify them via email it is time to review.
By default, there are no Filters setup.
Under the Actions section, you will find two actions setup:
- Share Policy Summary to Client Center
- Send Email
The Share Policy Summary to Client Center Action is setup to share the policy summary the day the workflow triggers and includes a default message which will display on Client Center.
The Send Email action is setup to send the Share Policy Summary email template the same day the workflow is triggered.
Under the Finish Setup step, you'll see the Enabled and Enable Smart Stop options have already been toggled. Simply select the Save Workflow button to start using this Automation Workflow.
Template - Streamline Your Commercial Submissions with Best Practices
This template leverages the Commercial Submission Added trigger. It utilizes the Agency Workspace to create a checklist while working on Commercial Lines submissions.
By default, the following Filter is setup:
- Type is Commercial
Under the Actions section, you will find one action setup:
- Create Note/Task
The Create Note/Task action is setup to assign a three item Checklist that is due 3 Days after being assigned to the account's Assigned Producer.
Under the Finish Setup step, you'll see the Enabled option has already been toggled. Simply select the Save Workflow button to start using this Automation Workflow.
Template - Engage and Retain Low-Risk Auto Clients
This template leverages the Applicant Added to the Renewal List trigger. It utilizes the Retention Center % Change to determine Low-Risk Auto Personal Lines customers, and uses Communication Center to send an Email and a Text Message to communicate their renewal is still competitive.
By default, the following Filters are setup:
- Line of Business is one of Auto (Personal) (AUTOP)
- Total % Change is less than 15%
Under the Actions section, you will find two actions setup:
- Send Email
- Send Text Message
The Send Email action is setup to send the EZLynx Agency Insights - Auto Competitive Renewal email template the same day the workflow is triggered.
The Send Text Message action is setup to send a text message to the primary applicant or commercial primary contact three days after the workflow is triggered.
Under the Finish Setup step, you'll see the Enabled and Enable Smart Stop options have already been toggled. Simply select the Save Workflow button to start using this Automation Workflow.
Template - Manage High-Risk Clients with Best Practices
This template leverages the Applicant Added to the Renewal List trigger. It utilizes the Retention Center % Change to determine High-Risk Auto or Home Personal Lines customers, and uses Agency Workspace to assign a checklist to review these high-risk clients.
By default, the following Filters are setup:
- Line of Business is one of Auto (Personal) (AUTOP) or Homeowners (HOME)
- Total % Change is greater than 30%
Under the Actions section, you will find one action setup:
- Create Note/Task
The Create Note/Task action is setup to assign a seven item Checklist that is due the day it is assigned to the account's Assigned CSR.
Under the Finish Setup step, you'll see the Enabled option has already been toggled. Simply select the Save Workflow button to start using this Automation Workflow.
