EZLynx is proud to announce an enhancement to the Automation Center - Recommended Workflow Templates! The goal of the Recommended Workflow Templates is to reduce the burden on the Automation Center Admin and to empower your agency to realize the benefits of Automation Center from Day 1. 


This new feature also gives us the opportunity to suggest best practices if your agency isn't sure where to start. The templates have been built keeping our most common business use cases in mind. These templates are loaded with predefined filters, checklists, and appropriate actions allowing you to enable the workflows with a single click. However, you can always modify and customize these templates to best suit your agency's needs rather than building them from scratch. 


In this release article we will go over how to find this new feature and dive into the details of each of the 8 recommended templates. To learn more about how to build a workflow from scratch, please see our Automation Center - How to Create a Workflow training article.

Where to Find Recommended Workflow Templates


To find this new feature, you must be an Automation Center Admin. If you are not an Automation Center admin, you will not see the option we are about to discuss. Please reach out to your Agency Admin if you are not the Automation Center Admin. 


1. Hover over the Settings Icon.

2. Click Automation Center. 




3. Once inside of Automation Center, click the Workflows tab, then click the Create New Workflow button.



Under the Select Trigger step you will see the Recommended Templates section where you can the list of workflow templates.


In the next sections, we will go into detail of each of the above templates. Remember, you can always customize or change any preset values to best suit your agency's needs. By default, the Templates will be in the Disabled Status. You will need to enable them to move them into Enabled Status. To do this, please see the How to Create a Workflow - Step 4 Name & Enable section in our training article.




Template - Welcome Your New Customers


This template leverages the New Customer trigger and sends a welcome email that includes a link to the client center portal.



By default, no filters are added on this template.

 


Under the Actions step you will see 2 Actions - Send Email & Create Note/Task.



The email is setup with the Automation Template - New Customer Welcome email.



The task is setup by default to the assigned user and has 4 checklist items that are due the same day the task is created. Because of this there are no reminders setup by default.



Under the Finish Setup step, make sure to toggle the workflow to Enable and click the Save Workflow button if you want to turn on this template.



Template - Organize Personal Account Information


This template leverages the Applicant Created trigger and creates relevant folders for Personal Lines Accounts



By default, the filters are set to Type is Personal.



Under the Actions Step, you will see two actions - Create Folders & Send Client Center Link.



The create folders is setup to create the following folders - Applications, Claims, and Photos of Home.



The Send Client Center Link is an action that sends the Client Center Email Campaign Template.  Under the Finish Setup step, make sure to toggle the workflow to Enable and click the Save Workflow button if you want to turn on this template.



Template - Organize Commercial Account Information 


This template leverages Applicant Created trigger and creates relevant folders for Commercial Lines Accounts. 



By default, the filters are set to Type is Commercial.



Under the Actions Step, you will see two actions - Create Folders & Send Client Center Link.



The create folders is setup to create the following folders - Certificates, Submission, and Claims.



The Send Client Center Link is an action that sends the Client Center Email Campaign Template.  Under the Finish Setup step, make sure to toggle the workflow to Enable and click the Save Workflow button if you want to turn on this template.



Template - Send Customer Birthday Wishes 


This template leverages Birthday Trigger and Sends Birthday Wishes via email to customers.



By default the following filters are added:


  • Days Until Birthday is 0 Days (This is a required field when using the birthday trigger and cannot be removed.)
  • Birthday is for one of Applicant or Commercial Primary Contact 
  • Date Applicant Created is greater than or equal to today's date



Under the Actions Step, you will see two actions - Send Email & Create Note/Task.



The Send Email action is setup to send out the Automation Template - Birthday email.



The task is setup by default to the assigned user and has 3 checklist items that are due the same day the task is created. Because of this there are no reminders setup by default.



Under the Finish Setup step, make sure to toggle the workflow to Enable and click the Save Workflow button if you want to turn on this template.



Template - Share Declaration Pages Online


This template utilizes Carrier Document Received trigger and shares declarations pages to the customer via the Client Center portal.



By default, the filter setup is Carrier Document Type is Dec Pages / Policy Documents.



Under the Actions Step, you will see two actions - Share to Client Center & Create Note/Task.



The Share to Client Center action will share the document to the customer via the Client Center Portal. To learn more about this, please see our Client Center - Sharing Documents Securely training article.


The task is setup by default to the assigned user and has 2 checklist items that are due the same day the task is created. Because of this there are no reminders setup by default. This will also attach the carrier documents to the task for easy access.



Under the Finish Setup step, make sure to toggle the workflow to Enable and click the Save Workflow button if you want to turn on this template.



Template - Proactively Review Notice of Cancellation 


This template leverages Notice of Cancellation trigger and create a task for you to review. 



By default, there are no filters setup.



Under the Actions Step, you will see one action - Create Note/Task.



The task is setup by default to the assigned user and has 4 checklist items that are due the same day the task is created. Because of this there are no reminders setup by default. 



Under the Finish Setup step, make sure to toggle the workflow to Enable and click the Save Workflow button if you want to turn on this template.



Template - Review Lost Policies


This template leverages the Policy Cancellation trigger and creates a task for you to review. 



By default, there are no filters setup.



Under the Actions step you will see one action - Create Note/Task



The task is setup by default to the assigned user and has 2 checklist items that are due the same day the task is created. Because of this there are no reminders setup by default.



Under the Finish Setup step, make sure to toggle the workflow to Enable and click the Save Workflow button if you want to turn on this template.



Template - Invite Customer to Share Policy Information Online 


This template leverages the Additional Policy trigger and shares the policy information to the customer via the Client Center Portal.



By default, there are no filters setup.



Under the Actions step you will see two actions - Send Client Center Link & Create Note/Task.



The Send Client Center Link is an action that sends the Client Center Email Campaign Template. The task is setup by default to the assigned user and has 2 checklist items that are due the same day the task is created. Because of this there are no reminders setup by default. 



Under the Finish Setup step, make sure to toggle the workflow to Enable and click the Save Workflow button if you want to turn on this template.



Template - Commercial Account Rounding Opportunities


This template leverages the Retention Center - Policy Added to the Expiration List trigger and allows your agency to conduct a timely account review with your commercial consumers. This workflow will fire when any commercial lines policy gets added to the expiration list and the configured actions enable your agency to follow up with your consumers on the recent changes to their business operations. Account review before renewal has the potential to discover new revenue opportunities and this template workflow will help your agency to stay on top of it.





By default, the filter "Type is Commercial" is setup. 



Under the Actions step you will see 3 actions - Create Note/Task, Send Email, and Send Text Message.



The Create Note/Task action is setup to create a note about sending the email for an account review and lists tasks and questions to be considered during that account review.




The Send Email action is setup to send the Commercial Account Review Email Template. 



The Send Text Message action is setup to send a text to the main contacts on the account to notify them their renewal is coming up and asks that they schedule a time with their agent to discuss.



Under the Finish Setup step, make sure to toggle the workflow to Enable and click the Save Workflow button if you want to turn on this template.



Template - Claim Experience Review


A claim is the moment of truth. It's the single point in time when your promises are put to the test. We understand insurance carriers process the claims, but insureds rely on agents to keep them updated during the claims process. One of the complaints from insureds is that they feel companies do not care about them when it comes to claims, hence offering empathy and support to your consumers will go a long way in building lasting relationships. This template workflow utilizes the Mangement System - Claims trigger will help you to share the claim details when it is closed and conduct a quick claim experience survey in the Client Center. The survey results will be emailed to you, so it creates opportunities for you to follow up with the insurance company and address the feedback. 



By default, the filter "Status is one of Closed" is setup meaning it is looking at only closed claims.



Under the Actions section, you will see 3 actions - Send Client Center Link, Create Note/Task, and Send Text Message.



The Send Client Center Link is an action that sends the Client Center Email Campaign Template. The Create Note/Task action is setup to add a note that a survey was sent to the customer and to assign a task to the assigned user, so they are aware.



The Send Text Message action is setup to send a text message letting the customer know that a survey was sent to them and that their feedback would be very helpful. 



Under the Finish Setup step, make sure to toggle the workflow to Enable and click the Save Workflow button if you want to turn on this template.



Template - Share Personalized Quote Results Online


When your agency is working with prospects during the sales process, speed is particularly important and the ability to share quote results automatically with the prospects will ensure the conversation gets going. Take advantage of this readily configured workflow which utilizes the Rating Engine - Successful Quote Submission trigger so your agencies can demonstrate faster service to your potential customers right from the word go.




By default, the filter "Resubmitted Quote is No" is setup.



Under the Actions sections you will find 1 action - Send Email.




The Send Email action is setup to send the Quote Submitted Email Template.




Under the Finish Setup step, make sure to toggle the workflow to Enable and click the Save Workflow button if you want to turn on this template.




Template - Send ID Cards on Policy Renewal


When the policy renews, your consumers would like to verify coverage information, download proof of insurance documents for their quick reference. This workflow template utilizes the Management System - Policy Renewal trigger to allow your agency to automate the communication when an auto policy is renewed successfully. The workflow will send Client Center self-service portal link so your consumers can review the policy renewal, download ID Cards instantaneously. Digital self-service isn't just a convenience for consumers, it also factors into who they choose to do business with. By proactively reaching out to insureds and delivering the ID cards self-service portal, you will be able to exceed your consumer expectations. 




By default, the filter "Line of Business is one of Auto Commercial or Auto Personal" is setup.



Under the Actions section, you see 2 actions - Send Client Center Link and Send Text Message.


The Send Client Center Link is an action that sends the Client Center Email Campaign Template. The Send Text Message action is setup to send a text message to the customer to notify them they can login to find a copy their new ID Cards.



Under the Finish Setup step, make sure to toggle the workflow to Enable and click the Save Workflow button if you want to turn on this template.


Template - Initiate Conversation With Your Prospects


This template leverages the Sales Center - Interview trigger and helps agents to reach out to your prospects automatically and establish contact when the opportunity enters the interview stage in Sales Center.




By default, the filter "Applicant Status is one of Inactive Client, Prospect/Lead, or Unknown" is setup.



Under the Actions section, you will see 1 action - Send Email.



The Send Email action is setup to send the Initial Touch Base during Interview email template.



Under the Finish Setup step, make sure to toggle the workflow to Enable and click the Save Workflow button if you want to turn on this template.



Template - Present Quote Results To Your Personal Lines Prospects


This template leverages the Sales Center - Presentation trigger and helps agents to share quote results via email with personal lines prospects when the opportunity enters the presentation stage in Sales Center.



By default, the following filters are setup:


  • Applicant Status is one of Inactive Client, Prospect/Lead, or Unknown
  • Type is Personal



Under the Actions section, you will see 1 action - Send Email.



The Send Email action is setup to send the Personal Lines Quotes Presentation email template.



Under the Finish Setup step, make sure to toggle the workflow to Enable and click the Save Workflow button if you want to turn on this template.



Template - Review Quote Results With Your Commercial Lines Prospects


This template leverages the Sales Center - Presentation trigger and helps agents to initiate communication with commercial lines prospects to go over their quote results when the opportunity enters presentation stage in Sales Center.



By default, the following filters are setup:


  • Applicant Status is one of Inactive Client, Prospect/Lead, or Unknown
  • Type is Commerical



Under the Actions section, you will find 1 action - Send Email.



The Send Email Action is setup to send the Commercial Lines Quotes Presentation email template.




Under the Finish Setup step, make sure to toggle the workflow to Enable and click the Save Workflow button if you want to turn on this template.
