EZLynx is proud to announce a new impactful enhancement to Automation Center!

To streamline our communication and prevent oversaturation, we've recognized a need for more targeted messaging. In the past, if the system contacted a customer through multiple channels (text, email, calls) and the customer responded on one platform, the system would continue to send messages through the other channels.

This could overwhelm customers with repetitive information. To solve this issue, we're excited to introduce "Smart Stop" for texts. This intelligent feature, as implied by its name, automatically halts further messages across all channels once a customer responds via Text, ensuring our communication is efficient and respectful of our customers' preferences and time.

Also, in our 2023 Q4 release, we piloted the ‘Automation Sequencing’ feature with a select few key actions. Given the success of the feature and positive response, we have expanded the same to all of the actions that could be part of a workflow.

How it works

At EZLynx, we are committed to enhancing the efficiency and effectiveness of our Automation Center. Our mission is to empower agents to concentrate on revenue-generating activities by automating routine operational tasks, thereby saving time and effort. Let's see how these new enhancements add value you to your system!

Scheduling Actions in Workflows

In our 2023 Q4 release, we piloted the ‘Automation Sequencing’ feature with a select few key actions. This Automation Sequencing allows you to specify the timing for each action on the workflow. This scheduling feature is also integrated into the templates provided by EZLynx for your convenience.

With this release, this Automation Sequencing is now available for the following actions

  • Assign to Renewal Manager
  • Assign Opportunity to Producer
  • Create Opportunity
  • Close Applicant in Retention Center
  • Execute Automated Quote
  • Generate Client Documents
  • Generate Agency Documents
  • Get Google Reviews
  • Send Payment Request – Email
  • Send Payment Request – Text
  • Share to Client Center

Sequence Preview in Workflow Editor

Within the Workflow Editor, you can view the sequence of filters and actions you've selected for your workflow on the left side of the Add Filter, Add Action and Finish Setup steps. This view will provide you with the comprehensive details of all the filters and actions you have selected to create the workflow and give you the flexibility to edit details, if needed.

Smart Stop - Text

This feature enables you prevent redundant communication to your customers so that they are not overwhelmed.

Smart Stop will be displayed on Finish Setup step only when the Send Text action is selected. For Smart Stop to work the Send Text action must be successfully triggered.

The Smart Stop - Text option will be enabled be default for Sales Center triggers as we feel you should leverage this for effective communication with your customers. You may also choose to enable this option for other triggers.

The History page has also been updated to show case the new Smart Stop feature. Actions which are not executed because of Smart Stop feature will have message indicated why they were not executed.

The workflows for which some actions were executed successfully, and rest were stopped because of smart stop functionality will have status as Cancelled

Why is this important?

Managing customer communication effectively is crucial to prevent oversaturation, which can result in customer fatigue and diminished interest, ultimately affecting conversion rates negatively. It's essential to recognize the right moment to cease messaging a customer about a specific topic. For example, if a prospect has been contacted about purchasing a policy through both email and text and has already expressed interest via text, receiving an additional email with the same sales pitch could cause confusion. This underscores the importance of a coordinated communication strategy that respects customer responses and preferences.
