Modified on: Wed, 20 Nov, 2024 at 3:32 PM
We’re very excited to announce the EVA Prospect Policy Assist Beta. With this beta you are able to upload policy documents such as dec pages into EVA which will automatically and quickly create an Applicant and start an Auto application for quoting filled with policy, driver(s), vehicle(s), and coverage information!
Within the same dedicated EVA window where you summarize communication for Applicants, you will be able to upload a PDF file to save you time creating a new applicant and keying in their auto policy information. From here, you can simply supplement the rest of the application information by utilizing our other existing lookup services and get a quote much more quickly. With this new feature, the ability for to quote new customers with multiple carriers is just a few clicks away!

How to access the feature
To access the new EVA policy document upload feature, you must open EVA from a non-Applicant page by selecting the EVA logo at the top menu bar next to your login name near the Workspace Add Note icon.
From here, you will see a new layout that will allow you to have two different options to Search Applicant, this which will launch the existing workflow to search for an Applicant for account summarization that was introduced in the Q1 2024 release.
The other option you will now see on the EVA homepage (non-Applicant page) will be the Create Applicant workflow that allows for uploading of policy documents.
Create Applicant (Policy Document Upload Process)
After selecting the Create Applicant option, you will see a new prompt from EVA with the following options:
- LOB: As of now only Auto (Personal) is available.
- Prior Carrier: Make sure you select a prior carrier which you will need to select based on the policy.
- Text Based PDF: Select a text-based PDF file by either drag-and-drop or select a file from your computer. Please note, this tool may not work properly with scanned PDF documents, so policy documents directly from carrier is preferred.
- Upload Document: Select this to begin EVA’s extraction process. The file you upload here will be added to the customer's Documents tab after the account is created.
From here, you’ll see EVA process the extraction (average time 10-20 seconds) and once created, you’ll receive a success message with the option to View Applicant.
If any issues occur, you shall see one of few different error messages such as trying at a different time, or to double check the file if there’s an issue. Either way the error will be logged and reported to EZLynx to be addressed.
If you decide to restart EVA at any point of time without navigating to the new Applicant that you created, you will still see a newly created task assigned to you to review the Application information on your task list. We’ve also pinned this task to the newly created Applicant for your convenience.
Viewing the Applicant
On the Applicant's Overview page, you’ll see an incomplete or invalid Auto Application.
EVA will extract as much data from the policy document declarations page as possible and input it into the Auto Application. The table below details what information EVA currently extracts if possible.
Details | Policy Info | Drivers (up to 6 total) | Vehicles (up to 6 total) | Coverage |
First Name | Prior Policy Expiration Date | First Name | VIN (which should automatically prefill Year, Make, Model, and Sub-Model in most cases) | Bodily Injury |
Last Name | Effective Date (New Policy) | Last Name | Vehicle Use (Note: This will not be available in all cases) | Uninsured Motorist |
Primary Address Info | Rated Drive or Excluded | Underinsured Motorist
Contact (if applicable – First Name, Last Name) | Property Damage
Medical Payments | ||||
Comprehensive | ||||
Collision | ||||
Towing & Labor | ||||
Rental Expense |
Attention! - There may be cases that not all the above coverages import properly, so it's important to still do your due diligence and spot-check what was imported and update if necessary before quoting. |
Additionally, we’ve added a new system log entry when an applicant is created via EVA’s document upload.
Why is this important
This new feature addresses the inefficiency of creating new applicant quotes in the current hard market, where agencies are overrun with inquiries. By enabling policy document uploads, agencies can swiftly quote new customers, freeing up more time for revenue-generating opportunities, focusing on sales, and identifying cross-selling avenues for other lines of business such as home and/or umbrella.
Here are a few ways your agency can make most out of this exciting new EVA feature!
- Kickstart the auto lob quoting application in PL rater, saving you time in data entry especially for applicants with multiple driver(s) and/or vehicle(s).
- Use to quickly create Applicants and automate opportunities using Sales Center to upsell and/or cross-sell other LOB opportunities such as Home/Renters, Umbrella, or any other policy.
We hope you enjoy this new Beta feature and look forward to our future releases! Check out our other EVA articles to learn more about how EVA can help your agency.
